A chargeback is a support ticket that went wrong, with a fee attached. Many of them can be won, or avoided entirely, if someone gathers the right evidence and answers before the deadline. That rarely happens when the founder is also running ads, stock and shipping.
What I handle
- Monitoring: new disputes in Shopify Payments, PayPal and Stripe are picked up quickly, not discovered after the deadline.
- Evidence: order details, tracking and proof of delivery, customer messages, your published policies, and product descriptions, matched to the dispute reason.
- The response: a clear, factual rebuttal that answers the reason given by the bank, not a generic letter.
- Inquiries before they become disputes: PayPal inquiries and customer complaints resolved early, which is usually the cheapest outcome.
- Your decision on the edge cases: when accepting a dispute is cheaper than fighting it, I tell you and you decide.
Reasons we see most often
- Item not received, even though the tracking says delivered
- Item not as described
- Unauthorized or fraudulent payment
- Refund promised but not processed
- Subscription or recurring charge not recognized
Each reason needs different evidence. Sending the wrong pack is the most common way winnable disputes are lost.
Prevention is the real win
Most chargebacks start as an unanswered or badly answered email. Fast, careful support is the best chargeback prevention there is, and every dispute I handle goes into the weekly report with what could have prevented it.
